Reports
Extole reports allow you to easily and reliably track and growth and performance of your programs.
Overview
The Extole platform delivers the essential part of successful referral and engagement programs: the ability to quickly and accurately report on it.
The Reports page of your My Extole account is separated into two categories, Reports and Scheduled Reports, and allows you to conduct the following actions:
- Run a new report with unique dimensions
- View the first 100 rows of a report prior to downloading
- Get a visualization of the report (only available on certain reports)
- Schedule a report
- Clone and re-run an existing report
- Get the API call for a report (for integration purposes)
- Deliver a report via SFTP
- Share a report
- View reports your CSM has run on your behalf
Report Categories
When you create a new report, we offer a variety of report categories for you to choose from. Each category contains a number of relevant report templates for you to configure.
Audiences
Audience reports primarily return lists of people and information about the different audiences interacting with your program. For example, you could get a count of your advocates or influencers, see which friends converted, or discover your most engaged participants.
Events
Events reports supply information about events occurring in your program. You can choose to look at all events or narrow your report to look at specific event types, such as registered, referred, shared, and so on.
Performance & Metrics
Performance and metrics reports provide a summary view of your program's performance based on key metrics, such as LTV, participation rate, top promotion sources, and so on. You can tailor these reports to look at specific cohorts of your program participants or to compare your performance against benchmark data.
Rewards
Rewards reports tell you what rewards have been issued from your program and provide data that may interest your accounting or finance team. You can easily track things like conversions, fulfilled rewards, and failed rewards.
Report Configuration, Emailing & Scheduling
When you select the report you would like to run, you can choose to run it once or run it on a recurring schedule. For example, if you want a particular report emailed to you on the first day of every month, you can easily schedule it.
When configuring the schedule of a report, you can customize the following elements:
- Delivery Date: The date we'll attempt to run and deliver this report.
- Frequency: How often the report will automatically generate. Do you want it daily? Weekly? Monthly?
- Notify Email(s): The email address(es) that will receive the scheduled report.
- Date Range / Time Range: This is the range of data that will be in the report. You will likely want to select "Since last run" as this will be incremented data. You can also select All Time or a specific date. Note that these are trailing date and time ranges, so "last week", for example, is the last 7 days.
- Deliver via SFTP (in "Advanced"): Do you have an automated process where you want to pick reports off of a destination consistently to import them into your own systems? Delivering them to the Extole SFTP is the best way to do this.
Viewing Reports
When you click to view an individual report, you will see several different sections, including dimensions, visualizations (if supported), and a preview of the report data. You will also see all of the dimensions the report was run with. This includes data like date the report was run, the event type, program, campaign, and so on.
