Overview
A gift card reward that fails records one row per attempt in its history, with a message that says why. Most messages name the cause. Two of them,Unexpected software error and Failed to make Tango Api request, are what Extole writes when the partner refused in a way Extole has no specific message for, and the partner’s own reason is not kept on the reward. This page lists every message, explains the retry schedule, and shows how to find the cause behind the two generic ones.
Every Message a Fulfillment Attempt Can Write
The two limit messages show the configured amount in place of the example numbers above. Hitting a limit counts as a failed attempt, so a burst of rewards over the limit can use up a reward’s attempts.
Retries and the Final State
Extole tries a gift card reward five times in total: the first attempt, then retries 1 hour, 1 day, 3 days and 3 days after each failure, so about seven days end to end. The retry job runs hourly, so each retry can land up to an hour after its scheduled time. A reward whose latest state is older than ten days is not picked up. After the fifth failure the reward moves to Failed with the messageAutomatically failed after 5 unsuccessful fulfillment attempts. and a fulfillment-failed notification is sent. The automatic job never retries a Failed reward.
Two things in the history are easy to misread:
- Each failed attempt is a row with state Fulfilled and
successfalse. The final Failed row hassuccesstrue, because it describes the state change, not an attempt. Count attempts from the Fulfilled rows. - A catalog outage at fulfillment time skips the retries. The reward goes straight to Failed with
Reward fulfillment failed, because Tango service was unavailable.and the error.
The Two Messages That Name No Cause
Unexpected software error and Failed to make Tango Api request mean the partner refused a request it received, or the request did not complete, and the partner’s own response is in Extole’s service logs rather than on the reward. Before asking Extole Support for that response, rule out the three causes below, because none of them produces a specific message.
A Retired Catalog Item
A gift card reward points at one item in the partner’s catalog: a card product in a currency for a set of countries. Extole checks that the item exists when you create the reward and when you edit it, and never at fulfillment. When the partner withdraws the item, the reward stays enabled, keeps its name under Rewards, and every order for it fails. Two reads show it:- The reward’s brand name, description and image are read from the partner’s live catalog each time the reward is shown, and come back empty when the item is gone. The catalog is cached for 15 minutes, and the same fields are empty when the partner is unreachable, so an empty brand is a lead rather than proof.
- Editing the reward fails with the item not found.
An Amount the Item Does Not Accept
A catalog item carries a value range, or a single fixed value. Extole checks the reward’s face value against it when you create or edit the reward, with the errorFace value is not within brand item specified limits, and never at fulfillment. When the partner later changes the range, a reward created inside the old range starts failing with no message about amounts. Test and demo rewards built at token amounts are the first to fail when a minimum rises.
A Recipient With No First Name
Extole sends the recipient’s first name with the order. When the profile has no first name, or a first name made only of characters outside ASCII, Extole sends the part of the email address before the@ instead, accents included. Whether the partner accepts that is the partner’s decision, and a refusal is recorded as Unexpected software error. Give the profile a first name, or correct the address, then retry the same reward: a reward with no partner reward id has no successful order behind it, and a retry re-reads the profile.
What to Do
- Read the reward’s history and find the message on the Fulfilled rows with
successfalse. - For a named cause, act on it: funds, limits, the template, the recipient’s address, or the frozen account.
- For the two generic messages, check the three causes above. Compare the failure boundary too: a retired item or a changed range fails every order on that reward from one date on, while a partner outage fails orders across rewards for a window and then stops.
- Count the attempts. A reward that is already Failed needs a manual retry once the cause is fixed. One still in Earned or Fulfilled with attempts left retries on its own.
- If the cause is still unknown, ask Extole Support with the reward id and the time of the failed attempt. Support can read the partner’s response in the service logs.
Rewards fulfilled by other gift card partners through a custom reward integration follow that integration’s own messages and retry rules, not the ones on this page.
