# How to Approve Pending Ambassadors

> Review and approve ambassador applications from the Ambassadors tab in My Extole using Show Pending and Approve Selected.

# Overview

When your Ambassador program uses **manual approval**, applicants submit through the Application
Experience and wait in a pending list until your team reviews them. Approve them from the
**Ambassadors** tab (recommended below). As a secondary option, you can create one-off or batch
approval events: go to **User Support** > **Create Event** for a single approval, or **Tech
Center** > **File Transfer** for multiple. Approving an event on a person's profile
(**Approvals**) reviews that event and does not admit them as an ambassador.

This path applies when your campaign has a pending ambassadors audience (the default for the
**Ambassador with Manual Approval** Flow Builder starter). For when to choose that starter, see
[Ambassador](/product/product-overview/programs/influencer#choosing-a-flow-builder-starter).

# Approve Pending Ambassadors

1. Open your Ambassador program in My Extole, or open the specific ambassador campaign.
2. Select the **Ambassadors** tab.
3. If the table title is **Ambassadors** and you see **Show Pending**, click **Show Pending**.

4. Confirm the table title is **Ambassadors Pending Approval**. Use **Search for ambassadors by
email** if you need a specific applicant.
5. Select the checkbox next to each applicant you want to review.
6. Click **Approve Selected** to admit them, or **Decline Selected** to reject the application.

After you approve an applicant, they move out of the pending list into the approved Ambassadors
list and receive the welcome messaging your campaign is configured to send. Click **Show Approved**
to return to the approved list.

> [!TIP]
>
> For Manual Approval programs, the Ambassadors tab often opens on **Ambassadors Pending Approval**
> already. In that case you can skip **Show Pending** and start at step 4.

# If You Do Not See Show Pending

**Show Pending** appears only when the campaign has a pending ambassadors audience configured.
Campaigns that use **Ambassador with No Application** or **Ambassador with Auto Approval** do not
show a pending-approval queue on this tab.

If applicants are waiting and you still do not see **Show Pending** or **Ambassadors Pending
Approval**, confirm you opened the correct ambassador campaign (use the campaign dropdown next to
**Ambassadors** when the program has more than one), then contact your Extole team.

# Secondary Option: Create Approval Events

If you prefer not to use the Ambassadors tab, you can approve (or decline) applicants by submitting
an **Application Reviewed** event with `application_status` set to `approved` or `declined`. Use
**Create Event** for one person, or upload an event file for many.

Once that event is accepted, the applicant moves out of the pending list (when approved) and receives
the Application Approval or Application Declined email your campaign is configured to send.

## Approve One Applicant with Create Event

1. In My Extole, open **User Support** > [**Create Event**](https://my.extole.com/create-event).

2. Select the **Program** (your Ambassador or Influencer program) and the live **Campaign** that
   received the application.

3. For **Event**, select **Application Reviewed** (or the review event name your campaign shows in
that dropdown). If the event does not appear, it is not enabled for that campaign — contact your
   Extole team.

4. Enter the applicant's **Email**.

5. Under **Additional Event Data**, add:

   | Key | Value |
   | - | - |
   | `application_status` | `approved` (or `declined`) |
   | `person_id` | The applicant's person id from their profile (recommended when you have it) |

6. Submit the event.

For field-by-field help on the Create Event form, see
[How to Manually Create a Referral or other Event](/guides/rewards-management/reward-fulfillment/how-to-manually-create-a-referral-or-other-event).

> [!TIP]
>
> Find the person id on the applicant's profile URL or in **User Support** > **Person Search**.
> Including `person_id` helps Extole attach the review to the pending applicant.

## Approve Many Applicants with a File Upload

1. Build a CSV with one row per applicant. Include at least:

   | Column | Required | Example |
   | - | - | - |
   | `event_name` | Yes | `application_reviewed` |
   | `email` | Yes | `applicant@example.com` |
   | `application_status` | Yes | `approved` or `declined` |
   | `person_id` | Recommended | The applicant's person id |

   Example:

   ```csv theme={null}
   event_name,email,person_id,application_status
   application_reviewed,applicant@example.com,1234567890123456789,approved
   ```

2. In My Extole, open **Tech Center** > **Batch Jobs** (File Transfer).

3. Click **+ New Batch Job**.

4. Give the job a **Name**, upload your CSV, and set **Batch Jobs Type** to **Event**.

5. Leave **Override event names in the source file** off when each row already has `event_name`, or
set **Event Name** to `application_reviewed` and turn override on if every row should use that
   name.

6. Create the job and wait for it to finish. Open the job detail and confirm **Event Names** shows
   `application_reviewed`, not `unknown`.

> [!WARNING]
>
> Do not choose **Approve** as the batch jobs type. That option approves existing events already
> waiting in review. For ambassador applications, create **Event** rows for `application_reviewed`.

For upload UI details, see [General File Uploads](/technical/platform-integrations/files/general-file-uploads).
For event file columns in general, see
[File-based Events](/technical/platform-integrations/files/file-based-events).

> [!WARNING]
>
> The edit or remove control on an Ambassadors row removes someone from a list. It does not approve
> their application. Approving an event on a person's profile (**Approvals**) reviews that event and
> does not admit them as an ambassador.
